Onboard Merchants through the Portal and Pre-fill their merchant application (no-code)

Onboarding new merchants is a very simple process. This can be done either through the UI using our hosted/whitelabel onboarding flows, or through our Onboarding APIs and SDKs.

This guide focuses on teaching you how to submit a "Merchant Application" using our Portal. Use this onboarding option when you want to onboard one-off or unique merchants and provide them a full white-glove experience.

With this process you will have the option to pre-fill the entire "Merchant Application" on behalf of your prospect, attach a tailored a pricing plan, and even customize the hosted onboarding flow that your prospect will go through to finish filling out any missing information from the application. Once you are ready, you can send the offer to your prospect, and he/she will receive a link to set up their account password and then be allowed to complete any missing information from their merchant application (e.g. SSNs, Bank Account numbers, etc). Upon completion of the hosted onboarding flow, we will automatically collect their acceptance to the "Merchant Processing Agreement(s)", and then allow you to submit their applications to begin the underwriting and KYC process.

How it Works:

Follow these steps to Onboard a new merchants through our Portal to allow them to begin accepting payments:

  1. Login into our portal and go to "Prospects" -> "New Prospect"

  2. Fill out all the fields in the form to create a Prospect

    1. DBA Name: DBA Name of the Business
    2. Contact Information (First Name/Last Name/Email/Phone #): Enter the contact information for a primary principal of the business. This must be someone with significant ownership or control over the legal entity.
    3. Agent Code: If you have multiple Agent Codes, pick the one that this merchant will be assigned to
    4. Auto Submit: Setting this value to "Yes" will automatically send the Merchant Application to underwriting as soon as it is "accepted" by the merchant and any required information is uploaded. Setting the value to "No" will hold the applications and allow you to review them for completeness and accuracy before manually submitting it to us for underwriting. We recommend you to initially set this value to "No" until you are comfortable with the application submission process. Note: Applications that have been accepted by the merchant and are ready for your review can be found under the "Prospects" tab with the status "Signed".
    5. External Reference ID: Here you can enter an external code from your system or CRM for tracking purposes
  3. Add a pricing offer to the Prospect

    1. After creating the prospect, under the "Offer Details" tab, click on "Add Pricing"

    2. You will be presented with the option to either create a "Pricing Offer" from scratch, or clone it from a previously created "Onboarding Template"

      1. If you select to create it from scratch, you will need follow the steps on our visual Pricing Offer Builder to configure the desired pricing for your onboarding template. Our UI builder will allow you to:

        • Select the preferred branding (available for white-labeled portals) & Agent Code

        • Select the payment method types that the merchants signing up through this onboarding template will be enabled for (i.e. Credit Cards, ACH)

        • Add the pricing/fees to the merchant and Save it.

      2. IF you select to clone it from an existing "Onboarding Template" you will be able to select a previously created template. Once you apply the template to the prospect, all of the template configurations (i.e. pricing, and onboarding customizations) will be copied over to the prospect.

  4. (Optional) Pre fill their merchant application with all the details you know about your customer.

    1. Go to the "Application Tab" and click on the "Pencil" icon to begin pre-filling the application on behalf of your merchant. NOTE: By adding this information ahead of time, when you merchant goes through the onboarding flow, most if not all the questions will already be pre-answered. This will allow you to provide a white-glove onboarding experience to your customers.
  5. (Optional) Configure your hosted onboarding flow to preselect responses and/or remove questions that you may already know the answer for.
    This feature can help you streamline your onboarding flow. Please refer to our "Customize Your Hosted Onboarding Flows" guide for more details on how to customize your Onboarding Template's questions and streamline your merchant's onboarding flow.

  6. Send the Offer to your prospect

    1. Once you are ready to send the offer to your merchant, click on the "Send offer button at the top right of the page.

    2. This will trigger an email that will be delivered to the email address for the Primary Contact of the application. The email will contain a link that will allow your prospect to set their account password for our Portal. Once their password is set they will be redirected to our hosted onboarding flow which will allow them to fill out any missing sensitive information that you may have been unable to fill out on their behalf (e.g. SSN, Banking information, etc).

  7. Receive notification that the "Merchant Agreement" has been accepted by the merchant's principals

    1. Once the prospect has finished going through the onboarding flow and agreed to the "Merchant Processing Application" you will receive an email notification. See below an example notification

  8. Submit the Merchant Application to begin the Underwriting and KYC process

    1. If the "Prospect" was created with the "Auto Submit" property set to "Yes", the application will be automatically sent to underwriting

    2. If the "Prospect" was created with the "Auto Submit" property set to "No", then, upon receiving the notification, you will need to come back to the portal and click on the "Submit to Underwriting" button. You can also do this through our APIs.
